Here is the fear that keeps people on an old copper landline: the power flickers, the internet drops for two hours, and every customer who calls during that window hits silence. For a business that runs on inbound calls, two hours of dead line on a Tuesday afternoon is real money walking out the door.
The good news is that a hosted phone, the kind that runs over your internet connection, does not actually go dark when your office internet does. But only if it is set up right. Most people never touch the setting that matters, so let us walk through what actually happens to a call during an outage and how to make sure it still reaches a human.
Your number does not live in your office
This is the part that trips people up. With an old landline, the phone line physically ran into your building, so if something happened to the building, the line went with it.
A hosted number is different. Your number lives with the phone provider, out on the network. When someone dials it, the call arrives at the provider first, and the provider decides where to send it. Your office internet is only one of the places it can send the call, not the only one.
So the question is not "is my internet up?" The question is "what has the provider been told to do when my desk app does not answer?" If the answer is "give up," you have a problem. If the answer is "try my cell," you are covered.
What a call does during an outage
Picture the connection at your shop is down. A customer calls. Here is the sequence with failover set up:
- The call reaches the provider.
- The provider rings your desk app. Nothing answers, because that app needs the internet you do not currently have.
- After a few seconds of no answer, the provider forwards the same call to your cell phone.
- Your cell rings. You pick up. The customer has no idea anything happened.
The customer dialed your business number and a person answered. That is the whole point. The outage happened entirely behind the scenes.
Set the rule once, not during the fire
The mistake is treating failover like something you turn on when disaster strikes. During an actual outage you are stressed, you are dealing with the internet company, and you are not thinking about call forwarding. That is exactly when you will forget.
Instead, set the rule once and leave it. A good setup looks like this:
- Ring the desk app first, for about six seconds.
- If no answer, ring the owner's cell.
- If still no answer, ring a second employee's cell.
- If nobody picks up, send to voicemail that emails you the recording.
Because it walks down the list, a single dead link never stops the chain. This is the same idea behind routing one business number to a whole team's cell phones, just pointed at continuity instead of coverage. The call keeps hunting for a human until it finds one.
Your personal number stays hidden
A worry we hear: "If it forwards to my cell, will customers start seeing and calling my personal number?"
No. The forwarding happens on the provider's side. The customer only ever sees your business number, and the call is stitched through so your cell number is never exposed to them. When you call the customer back later, it still shows your business number, not your personal one. If keeping those two worlds separate matters to you, that separation holds during an outage too, which is really the whole reason to have a business number that rings on your cell in the first place.
The test that tells you it works
Do not wait for a real outage to find out. Test it on a slow afternoon:
- Turn the WiFi off on the device running your desk app, or just close the app entirely.
- Call your business number from a different phone.
- Confirm it rings your cell within a few seconds.
If it does, you are done, and you can stop worrying about the internet. If it does not ring your cell, the failover rule is not set, and that is the five-minute fix that saves you the next bad Tuesday.
An outage is annoying either way. But there is a big difference between an outage that costs you a few emails and one that costs you every call for two hours. The setting that separates those two outcomes takes five minutes and you never have to think about it again.
